Booking references complete

Checks that every booked service has its supplier booking reference.

Net rates confirmed

Make sure every service has the supplier's net rate in place.

Client paid in full

Check that 100% has been collected before the trip departs.

In practice

What being in control means
in a travel agency.

The numbers add up before departure, not after

The classic scare arrives once the trip has already departed: a payment was never collected, a service's net rate wasn't what was written down, or the insurance was taken out and nobody added it to the trip file. That's why every trip file carries five checks — signed contract, booking references, confirmed net rates, payment in full and reconciled amounts — and the system warns you when the departure date is approaching with something still open. If what you want is to fine-tune your price before you sell, our margin calculator works out the selling price and what you actually keep after taxes and the payment gateway's fee. It's free, with no sign-up required.

The contract doesn't depend on someone remembering

The signed contract is one of the trip file's five checks, so it shows as pending until it exists. Spanish package travel regulations require handing the traveller a copy, and that obligation doesn't take care of itself. If you don't run your contracts through us yet, you can generate your package travel contract template (under Spanish law) with your agency's details and receive it as a PDF — currently available in Spanish.

The numbers don't live in a separate spreadsheet

Sales, payments received, supplier payments, commissions and net profit all come out of the same bookings you already manage: nothing to re-key by hand at the end of the month. The cost of an incident is deducted from that trip's margin, so the profitability you see is the real one — not the one in the initial quote. And the same breakdown is there by month, by agent and by destination, which is how real decisions get made: who gets more leads, which destination you repeat and which one is costing you money.
